What personal data we collect and why we collect it
During the process of your enquiry, booking and stay we will require some personal informationfrom you. The security of your information is very important to us and we do the following to help protect it. All information is stored on password protected IT devices unless specified otherwise. We do not share any data with any other parties unless mentioned below. We do not transfer any data outside the EEA, however external parties may store data elsewhere. You can find out more about this in their own Privacy Policies as detailed below. We do not use any data for any purposes other than those mentioned below.
Enquiries
Email enquiries are kept on file and periodically deleted by the end of each year. If we cannot help at the time sometimes we may contact you again if a cancellation comes up which may suit you. Our email account is provided by Gmail, you can view their privacy policy here https://policies.google.com/privacy?hl=en-GB&gl=ukPhone calls are not recorded, if you leave a message this will be deleted as soon as we have responded. Our website does not use cookies and if you use the contact form no information is stored other than what is sent to us via email. Our Facebook page can only be accessed by one person. The facebook account is password protected and the account/ devices are never left logged in. Messages to the facebook page are handled in the same way as other emails. Booking
We will require your name, address, phone number, and email in case we need to contact you regarding your booking. This information is stored using a secure IT system, on password protected devices. You can view the privacy policy for the system here https://www.gemapark.co.uk/aboutus.aspx. Access to this will be shared with our accountants, Balme, Kitchen and Pearce, to compile our annual accounts. A copy of their Privacy Policy can be viewed on request with us.
Payment
If paying by card we will require your card details in order to process the payment. Payments are put through the virtual terminal over the phone and not recorded. Alternatively secure payment can be made using the online gateway. All card payments are dealt with in line with our PCI DSS policy which can be viewed on request. The virtual terminal and online gateway are provided by https://www.elavon.co.uk/privacy-policy.html. You may also pay by cash, cheque or BACS. No additional personal data is collected when paying by these methods.
During your stay
We have CCTV located at our entrance gates for security reasons. This footage is stored for 28 days and can only be viewed within that time. If required we may share footage with the Police, this may be stored for longer by them. Our WiFi system is operated remotely by ClubWifi. You can view their privacy policy during the sign up process which will start when you open the browser on your device. If you purchase a new gas cylinder from us we will need to take your details, we are required to keep a copy of this and a copy is passed to Calor Gas. Season Pitch Waiting List
We will require your name, address, phone number and email in order to contact you when you reach the top. This will be stored on the waiting list. We will contact you when you reach the top. Once you accept/decline you will be removed from the list. The computerised copy will be updated at least annually and is stored on an encrypted memory stick. All previous copies will be destroyed at this point.
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Contact forms
Any contact form submissions are stored via our secure email account until such enquiry has been dealt with. Once the enquiry has been dealt with your form submission data is destroyed.
Cookies
If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.
If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Who we share your data with
We use Google Analytics to track user activity on our website. This data is only used internally to then improve your user journey based off website usage.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.
